Choice of Transport:

Sea Freight:

Transit Time: ~20–30 days (Port to Port) Best for: Large volume, non-perishable, cost-sensitive goods. Main Ports are:

Air Freight:

Transit Time: 1–3 days Best for: Perishables, high-value or urgent shipments. Main Airports:

Packaging & Labelling

  •             Clear labeling with product info, weight, origin, and handling instructions
  •             Barcodes / HS codes recommended for easier customs processing

Shipping Documents Checklist

  •              Bill of Lading (B/L) or Airway Bill (AWB)
  •              Commercial Invoice
  •              Packing List
  •              Certificate of Origin (especially important for customs)
  •              Insurance Certificate (if applicable)
  •              Import/Export Licenses (if required by either country)

Customs Procedures

Netherlands (EU side):

  •              Requires EORI number to import/export
  •              Customs declarations go through the Dutch Customs Authority
  •              Import VAT is applicable (but can be reclaimed for businesses)

India side:

  •              Requires Importer Exporter Code (IEC) for businesses
  •              Must file Bill of Entry (for imports) or Shipping Bill (for exports)
  •              Customs clearance handled via ICEGATE (online portal)

Incoterms

Incoterms define the division of costs and responsibilities. Common ones for Netherlands ↔ India:

  •              FOB (Free on Board): Seller delivers to port; buyer pays for sea freight & duties
  •              CIF (Cost, Insurance, Freight): Seller covers transport & insurance to Indian port
  •              DAP (Delivered at Place): Seller responsible for delivery to final destination (excluding import duty)
